RRUSA has a statutory requirement to maintain lists of its membership. We receive and store information about our members based on an information sharing agreement with Royal Roads University to maintain our membership register, which is used to organize and distribute communications about general meetings, elections and referendums, and to administer fee collection. The information collected includes your name, your RRU email address, your personal email address, your phone number, your program name and program delivery mode (i.e. Blended, Online, or On-Campus), your program start and end dates, and your home city. This information is received and stored internally via password protected documents. We currently use Google Workspace for our internal operations. RRUSA is required to collect membership administration information under the BC Societies Act.
We are required to send email communications to our members regarding the programs, services, and events pertaining to their RRUSA memberships. To ensure the delivery of important email communications, we collect and store the RRU email address, program name, and program delivery mode of all active RRUSA members. We use Envoke to deliver our email campaigns. Envoke hosts, processes, and stores its data on servers located in Canada in adherence to Canadian data protection laws.
We occasionally conduct surveys to collect information about the interests, concerns, and priorities of RRUSA Members. Our surveys are deployed through SurveyMonkey and Google Forms. The surveys invite student input on a number of topics and typically ask for your name and email address. Survey responses are collected and stored (internally via Google Workspace) to guide decisions toward the improvement of our programs and services.
RRUSA Members have the right to request that previously collected personal information be withdrawn from our storage. Please note that withdrawing your information could result in us being unable to deliver important information, programs or services to you. Additionally, there may be some information that we are not permitted to remove even upon request if there is a legal obligation for us to keep it for a minimum period of time.
